Strategic Communication Plan and Approach Drives Employee Adoption of New HCM System
The Opportunity
A provincial government agency turned to Decision by Design for help in supporting the people-side of change with the goal of improving its human capital functions. The agency’s management of its people had largely been through several disparate systems and excel sheets, resulting in multiple data sources and an unreliable single source of truth. In addition, the system’s poor search and navigation capabilities made it challenging for the company’s 10,000 employees to find what they needed, when they needed it, let alone validate its accuracy.
The agency envisioned an integrated digital platform that would simplify their technology landscape, provide a more intuitive user experience, help them to work smarter, innovate faster, and support their future growth. They set out to create a single, next-generation cloud platform and prepare for a re-imagining of the employee experience.
What We Did
In partnership with the client, we developed a comprehensive change strategy and project plan to engage the human resources and senior leader communities whilst working to define and integrate the different talent modules into a cohesive, collaborative system. The plan ultimately drove championship and early adopters in building a “change network” to cascade information and deliver training. We also established a sustainability plan with baseline metrics to monitor, evaluate and report performance.
Outcome/ Results
By bringing stakeholders together, designing with the employee experience in mind, and aligning on a focused strategy, we were able to get everyone on the bus. We also partnered with internal communications to roll out the communications strategy that included equipping leaders with tools to support their employees through difficult conversations. Senior leaders realized the impact on there teams and what it meant for the agency thereby driving, by 2%, unique platform visits in the first few days of launch.
